Submittable is seeking an Executive Assistant to provide administrative and planning support to Submittable's Executive Team. The purpose of this position is to increase the capacity of the Executive Team by managing schedules and projects. We are looking for a professional, friendly, multi-tasking expert who can take on a variety of tasks and complete them all with efficiency and accuracy. Good judgement, dependability, and experience handling confidential information are key to success in this role; a good sense of humor wouldn't hurt, either.

This is a full-time, hourly position in Missoula, MT, and reports to the CEO.

What you'll do:

  • Demonstrate an understanding of executive needs, preferences, and schedules in order to provide effective support 
  • Use discretion and judgment to prioritize business needs
  • Schedule meetings and book travel for the Executive Team, job candidates, and other office visitors
  • Take meeting notes, prepare reports for meetings and reviews, and complete other administrative work as needed 
  • Coordinate internal and external meetings including but not limited to executive team meetings, all hands meetings, off-site meetings, and one-on-one meetings
  • Manage expense reports for the Executive Team
  • Organize and maintain information that may be sensitive, confidential, or technical in nature
  • Demonstrate outstanding time management and organizational skills  

About you:

  • Experience working as an Executive Assistant supporting multiple leaders in a fast-paced, dynamic environment
  • Experience with common office software, such as MS Office, and cloud-based services like Google Drive, Google Docs, and 1Password
  • Very trustworthy, with proven experience and discretion when handling confidential and sensitive information
  • Excellent verbal and written communication skills 
  • Strong attention to detail and organizational and problem solving skills
  • High degree of professionalism
  • Can-do, positive attitude; self-starter with minimum supervision required
  • Team player willing to step outside the role and help where needed to grow the company
